Main Sail Uses an Automated Round Robin to Save Their Recruiting Manager Hours Per Day

A recruiting manager manually assigning jobs to recruiters according to a round robin selection is a very common workflow in staffing firms. However the Main Sail Group’s automated workflow process has allowed them to streamline handing off jobs from account managers to recruiters. Scott Harris, Partner at Main Sail, visited the MaxHire headquarters last week. While he was here, I had a chance to sit down with him and talk about how the round robin process works and how it’s helping them be a more successful staffing and consulting company.

“Before we had the automatic round robin process in place, our recruiting manager would manually assign jobs to our recruiters at the end of the day. The problem was that it took our recruiting manager a lot of time to perform this task each day and depending on when the job orders came in, there could be quite a lag between the time they were entered and when it was assigned to a recruiter,” Scott explained.

With the new automated workflow in place, Main Sail’s recruiters are notified of new job posts by an automatic alert in MaxHire once the job posting has been entered into MaxHire by the account manager. The process is driven by a round robin so the next recruiter on the list gets the newest job.

According to Scott, the workflow has been well-received and Main Sail is enjoying the following benefits from using the automated round robin:

  • Time savings: the recruiting manager saves several hours each day as she no longer has to spend time checking for inbound jobs and manually assigning jobs to recruiters
  • Accountability: recruiters are held accountable for their jobs because the jobs are assigned immediately and the business development manager doesn’t need to worry about jobs not being assigned
  • Business efficiency: the lag time between jobs coming in and recruiters starting to source candidates has been reduced considerably and jobs are being filled faster

    I’d like to know more about creating an automated workflow process…been on Maxhire for awhile now and I can’t seem to get efficient at this.
